(2) Accountant

Job Summary
The Accountant will be reporting to the Head of finance and will perform the following duties:-
• Preparing all payments after being approved by the relevant authorities
• Ensuring that all payment vouchers are prepared accordingly and signed before payment instruments are prepared
• Controlling of all accountable documents of the office
• Assisting Head of Finance in preparation of periodic reports which includes Bank-Reconciliation statements,
• Income statements, cash flow, liquidity analysis and other financial reports

• Ensuring compliance with applicable laws and Statutory Regulations
• Collaborate with the Head of Finance in developing, improving and execution of comprehensive Internal controls, Financial Policies and procedures in order to monitor, control and eliminate operational risks;
• Assisting Head 9f Finance in timely compilation of financial matters reports and report in case of any irregularities to the Head of Finance;
• Preparing all kinds of refunds to members after approval by relevant authorities.
• Preparing monthly staff’s payroll including all necessary statutory deductions ready for review and approval by 25th of each month
• Petty cash maintenance and ensuring that all the time there is enough cash to meet short term obligations
• Ensuring that all payment vouchers -ore prepared and signed before writing cheques. .
• Receive payment and issue receipts to members and customers
• Reconcile petty cash with daily cashier debit and credit form
Qualification, Skills and Abilities Required:-
1. Must be the holder of a CPA (T) issued by NBM
2. Bachelor’s degree in Accounting, Finance, Cooperatives, Banking or. other related field of study from a recognized higher learning Institution
3. Accounting experience of at least three (3) years.
4. Must have practical computer working experience of Office Applications especially Excel and PowerPoint.
5. Working experience in Small ‘and medium-sized Microfinance Institutions will be an added advantage.
Age limit: Must be between 27 – 35 years.

Position Objective

Ensure that loan installments from customers are posted into relevant accounts.
Follow-ups on non-performing loans/customers that are not paying their loan as per the agreement.
Ensure that weekly, monthly, quarterly, annual and any other reports on loan portfolio are accurate, complete, and prepared on schedule.
Prepare all branch returns and ensure they are in accordance with the credit policy and lending manual.
Verify postings of loan administration fees for customers whose loans have been disbursed.
Ensure proper filling of customer credit documents and correspondents.
Improving the quality of customer’s data by ensuring all customers data is captured as per

KYC set rules and regulations.

Analyse delinquent accounts and prepare report on highest risk accounts including recommendations for resolution.
Monitor violations of credit policies, provide analysis, conclusion and recommendations, present findings to the Branch Manager and suggest actions/penalties to be taken when appropriate
Develop processes and procedures for evaluating customer financials and setting and changing credit lines/limits, as well as credit holds; implement liens as necessary to major delinquent account as approved
Attend to the generated legal documents used in the credit function for onwards preparation of disbursements
Perform any other duties as may be assigned by Branch manager from time to time

Primary Purpose

Qualifications

Education:

Primarily conducts the AOR Screening and Pre-Screening One interview, per the daily minimums set by Field Team Management, in a non-confrontational, objective, and dignified manner. This includes:
determining case composition and ensures all refugee cases are cross-referenced according to established standard operating procedures.
establishing the validity of an applicant’s identity through verification of all demographic and biographic information including, but not limited to, names, nationalities, birth dates, and locations of all immediate family members in order to complete the refugee case history as required.
collecting all identity information including photographs, height, and weight.

Runs Quality Check reports to ensure complete and accurate files, as well as identifies and correct processing errors prior to USCIS adjudication.

Assists Adjudications Circuit Rides as needed, which includes completing post-Adjudication review, updating decisions and fingerprints, and preparing and distributing decision letters.

Reviews monthly invoices for local service providers and ensures correct rates are being charged and also identifies local versus regional travel expenses;
Provides basic bookkeeping responsibilities for the Kasulu office;
Overseas all sub office specific procurement needs;
Supervisors the driver, gardener, and janitor in the completion of their duties;
Develops and maintains vendor relations in Kigoma and Kasulu area to procure office and administrative supplies;

Manages interpreter hiring, training, supervision and payments.
Purchase CR supplies as needed.
Ensures files or documents are kept in order in the field and are filed back in the library per SOPs.
On Adjudication CRs, ensures complete files are presented on time to CIS officers, and monitors their return from CIS officers.
Manages processing schedule and staff workload while on a circuit ride.
Calls applicants who have failed to appear.
Sends deferrals and info memos to partners
Photographs and uploads applicant photographs; scans and attaches refugee documents.
Works with partners who are transporting refugees to ensure correct applicants are brought and taken from the worksite, and this is done in a timely manner.
Completes refugee roll call, and presents morning announcements to applicants.
Completes IT set up on CRs and ensures technology and equipment used on Circuit Rides is well-managed and utilized, including computer hardware and software.
Maintains a thorough knowledge of and ensure compliance with CWS RSC Africa safety and security procedures at all times.
Act as the security backup on Circuit Rides.
Completes Trip Reports and account fully for funds as required when traveling on circuit rides.
Maintain thorough knowledge and adherence to PRE and CIS Circuit Ride Standard Operating Procedures which include interview schedules, statistics, file review, handling queries from CIS officers, preparation and distribution of CIS decision letters, Preliminary Results Lists and Trip Reports.

PURPOSE:
The Musoma Center Manager is responsible for overseeing the daily running of the clinic. They are responsible for developing, coordinating and facilitating the implementation of Centre plan, strategies and program according to annual strategic plan and budget. They supervises the provision of quality Health Services at the Centre. The centre manager works closely with the Clinic lead, Centres Coordinators, Customer Care Coordinator and support office staff in order to deliver high quality services.

KEY RESPONSIBILITIES
• Continuously develop Clinic in line with the values of MSI Partnership and the goals of maximizing access of clients to affordable and high quality family planning services
• Ensure high quality service delivery of Family Planning, reproductive and general health services.
• Manage daily the electronic patient information system. Maintain high quality data collection and recording, support team members with data entry. Submit reports in a timely manner.
• Take responsibility for costs to be contained within the approved annual budget. Striving for income from services to meet or exceed budgeted targets
• Effective stock management; adequate but not excessive stocks are maintained. Timely submission of stock reports and orders. Routine reconciliation of stock at centre level. • Motivate and continuously set performance targets for centre staff and appraise their job performance.
